Tasks and responsibilities:

 - Organize external meetings in respect of applicable internal and external requirements

- Prepare sales meetings of concerned Business Unit

- Organize, prepare materials and documents for congresses/events

- Manage contacts with marketing agencies and outside printing companies; handle vendors and supplier database

- Master financial & purchasing process: purchasing offer process and related documents for material, projects or services delivered

- Prepare and follow-up of professional services agreements, sponsorings, contracts or equivalent, including Mdeon when required and payments

- Centralize administrative documents, and follow-up internal approval flows

- Prepare visits of professional relationships when required

- Draft, translate where required, and distribute correspondence when needed

- Manage and distribute stationary for dept, office equipment, and manage promotional material

- Make travel arrangements for Managers (and staff when required), depending of events size

- Keep agenda of Manager(s), filter telephone calls, communicate incoming messages

- Handle ‘ad hoc’ additional tasks on request of Manager

- Manage back up with colleague

Ce que nous offrons

Our client offers you an immediate fixed contract or preceded by a probationary period. Your salary package will be defined based on your experience and skills. The position is filled full time at 40 hours per week.

• Minimum 2 years of experience as an Secretary/Mgt. assistant

• Trilingual Dutch, French, English

• Expertize in SAP, and Office

• Education on A1 level

• Good general business sense; able to establish priorities

• Interpersonal skills

• Adaptable to commercial, regulated and international environment

• Flexibility on work demands, able to work under pressure (activities and time)

• Accurate and efficient
