Over de functie

  • Contact person for investors, partners, key stakeholders
  • Respond to email, phone calls in a professional way (NL – FR – ENG)
  • Planning of internal and external meetings
  • Travel bookings, Hotel bookings, Visa requests, registration for conferences
  • Monthly Expense Management (CEO only)
  • Follow-up of the agenda of the different meetings and follow-up of the timely delivery of the documents by the respective team members
  • Create the calendar for the different fund meetings and reserve the meeting rooms in collaboration with vdk bank Administration/Office Management
  • Back-up for reception desk (visitors, couriers/mail deliveries, calls)
  • Assist in the meetings of the building management regarding fire drills, etc
  • Filing of documents
  • Correspondence and mailings (e.g. Christmas Cards)
  • Prepare and update “Welcome kit” for new hires/leavers o Manage order and cancellation of calling cards, Sodexo meal voucher cards,
  • Register new hires/leavers with Delta Lloyd and KBC Hospital Insurance,…
  • Keep the personnel files up to date, both on paper and electronically
  • Be the contact person for the Social Secretariat Acerta and the payroll person who will be in the office once per month Legal Support
  • Request certificates from the Crossroads Bank for Enterprises and send to the respective clients
  • Follow-Up of changes in Members of the different Committees and Board of Directors
  • Prepare the documents for publication in the Official Gazette of the Appointment/Replacements/Resignations of members of Committees and Boards

Functie eisen

  • Bachelor Office Management or equivalent with experience
  • Integrity, humor, energy, engagement, can-do attitude, eager to learn, inclusive team player, willing to give and receive feedback, passion for technology
  • Enjoys working with colleagues from diverse backgrounds and cultures
  • Minimum 5 years’ experience, preferably in an international environment
  • Fluent in Dutch, English and French, both written and spoken
  • Very good knowledge of Outlook, Word, Excel and PowerPoint
  • Discrete and able to manage confidential information
  • A previous experience in a law firm or with company governance is a plus but no prerequisite
