Coordinator – High-Level Engagements & General Support

Description de fonction

  • Coordinate interactions with internal and external stakeholders related to high-level engagements and events.
  • Follow up on incoming invitations and ensure internal coordination to provide timely and appropriate responses.
  • Maintain and update the High-Level Engagement Plan and related reporting tools (weekly follow-up).
  • Manage and update SharePoint spaces and other document management systems (agendas, briefing notes, presentations, internal notes).
  • Manage the central mailbox: triage requests, assign them to the relevant teams, provide standardized responses, and follow up on actions.
  • Work closely with department heads and support teams to ensure optimal alignment.
  • Provide general administrative support and handle a variety of operational tasks depending on priorities and ongoing projects.

Profil

  • Bachelor’s degree or equivalent through experience.
  • Minimum 1 year of professional experience (2 years preferred) in an administrative, coordination, or support role.
  • Strong ability to manage multiple tasks and priorities in a fast-paced environment.
  • Fast learner, able to adapt quickly to new tools, processes, and responsibilities.
  • Proactive, hands-on, and solution-oriented mindset.
  • Comfortable working with digital tools and collaborative systems.
  • Strong proficiency in Microsoft Office / Office 365, Teams, and SharePoint.
  • Excellent written and verbal communication skills in English; good knowledge of French or Dutch is an asset.
