Functieomschrijving

  • Coordinate the creation, approval, and distribution of client updates, newsletters, and internal communications
  • Assist with scheduling, travel planning, meeting logistics, and preparation of briefing materials
  • Support the organization of events and client activities (invitations, registrations, logistics, materials, staffing, and follow-up)
  • Maintain updated contact databases, mailing lists, and distribution records
  • Liaise with internal teams to manage professional photos, biographies, and internal announcements
  • Prepare reports and assist with tracking office activities, submissions, and ongoing initiatives
  • Provide support in maintaining accurate expense records and processing payment requests
  • Draft and format correspondence, presentations, and administrative documents
  • Coordinate with vendors and manage the inventory of branded gifts and materials
  • Perform basic research on individuals, companies, and industry topics as requested
  • Assist other departments such as HR, Recruiting, or CSR/Pro Bono on special projects or initiatives
  • Ensure smooth day-to-day administrative operations across the Brussels and regional teams

Profiel

 

  • Bachelor’s degree minimum
  • Excellent written English skills and french
  • Proficient in Word, Excel, and PowerPoint
  • Experience in marketing or event management preferred
  • Familiarity with CRM systems (e.g., InterAction, Salesforce) and marketing tools (e.g., Vuture) is a plus
  • Strong organizational skills, attention to detail, and discretion
  • Good interpersonal skills and team spirit
  • Ability to manage multiple projects and competing priorities

 

Aanbod

  • Open-ended contract to be filled in Brussels - confirmed position (not in London)
  • Attractive salary: between €3500 and €4000 gross per month, depending on experience
  • No structural teleworking (flexibility possible on a case-by-case basis)
  • Lots of interaction with colleagues, working directly with partners, where quality and reliability are essential
