Roles & Responsibilities:

Within the Development department and in close collaboration with the Manager Wallonia to whom you report, you are in charge of the administrative follow-up and support of technical projects, offers, permit processes.

Providing administrative support to the whole team, you will be responsible for:

  • Preparing and coordinating permit files, in collaboration with the project developers, in order to submit complete, qualitative and accurate permit files within the given timeframe
  • Ensuring the proper document management of ongoing projects, in particular by ensuring the systematic electronic archiving of external and internal documents
  • Preparing and collecting the necessary information on specific projects and update presentations, brochures, websites, etc. 
  • Requesting documents from the competent authorities related to the preparation and/or implementation of projects/permit files to ensure that the project is carried out in accordance with the applicable legal provisions. 
  • Managing the central mailbox of the team 
  • Organising, attending and following up on team meetings 
  • Office management: office supplies, meeting rooms reservations, etc. 
  • Key role in SAP Ariba: as Requester, you enter purchase orders for the team 
  • Management of the invoice approval workflow for your department 
  • Processing electronic signatures of internal and external documents 
  • Personal assistance to the team manager: organisation of internal or external meetings, reservations, accommodation, ppt presentations 
  • Close cooperation with other departments, in particular Finance-Legal
  • Operate as one-off back-up of the management assistant

Profiel

Profile:

  • You have a relevant experience in a similar function (min. 3 years) 
  • You have affinities with jobs impacting the environment & you are interested in durability 
  • You have strong written and oral communication skills
  • You are accurate, hands-on and responsible 
  • You are organised, pragmatic and solutions minded 
  • You are a French native speaker
  • You have good knowledge of Dutch and English
  • You are IT minded 
  • You have good command of MS-office
